Post Title: Secretary

Salary: £26,500 per annum

Working Location: Bicester (entirely site based)

Working hours: Monday to Friday 9am-5pm

Contract: Permanent

Equation Recruitment are looking for a Secretary on behalf of a well-established Care Home in Bicester. For this position, you will require a background in administration (ideally as a secretary), alongside proven working experience in customer service and an empathetic nature, due to the industry.

Secretary Responsibilities:

  • Ensuring that all records are maintained and stored in accordance with The Data Protection Act 1998 and General Data Protection Regulations (GDPR) 2018
  • Treating all matters with due confidentiality, in relation to residents, staff and the company
  • Recording admissions, deaths & discharges
  • Creating new forms, sign's/notices/posters as required
  • Booking residents appointments and transport where necessary
  • Administrative support to Matron and Nursing wing
  • Updating Policies & Procedures as instructed by Matron
  • Enter staff rota onto CIVICA
  • Keeping CIVICA updated
  • Booking staff holidays & logging absences
  • Keeping records filed
  • Photocopying
  • Producing activity sheets for up & downstairs
  • Sending all appropriate notices to CQC, Continuing Healthcare, DoL's and Safeguarding
  • Informing Health Centre of admissions, deaths and discharges
  • Scan and email MAR charts to Bicester Health Centre and send original copies to Superdrug
  • Supporting Matron with the rota to cover shifts
  • Checking new staff with DBS.

Essential Experience

  • Confident understanding or the English language.
  • Excellent written and verbal communication skills
  • Comfortable using a computer on a daily basis.
  • Knowledge of Word and Excel
  • Prior experience in an administrative position.

Desirable Experience:

  • Good Telephone manner
  • Organisational skills
  • Knowledge of Civica preferred - not essential as training will be given.
  • Working experience as a Secretary
